Executive Assistant – Personal
The Singapore-based owner and CEO of a successful global software company is seeking a person with exceptional experience in being a Personal Assistant for wealthy individuals and families with multiple residences.
RESPONSIBILITIES:
- Administrative Work – Completes a broad variety of administrative & personal tasks for the CEO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
- Point of Contact – Serve as the primary point of contact for internal and external matters related to the CEO
- Communication – Communicates directly, and on behalf of the CEO, on matters related to CEO’s programmatic initiatives. Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up
- Personal Networking – Provides leadership to build relationships crucial to the CEO, and manages a variety of special projects for the CEO, some of which may have organizational impact.
- Personal Meetings – Managing and organizing CEO’s calendar, planning and scheduling appointments and meetings and ensuring that all necessary materials are well prepared for CEO’s personal meetings
- Personal Travel & support – Manages CEO’s travel schedule, CEO’s Personal communications, online & social image
- Social Media – Good eye for detail and creative flair. Familiarity with social media would be a plus as would a tech-savvy attitude. Highly detail-oriented and organized Self-starter, proven ability to manage deadlines and work on multiple, complex and cross-functional
- Event Management – Personal Events management support and coordination
REQUIREMENTS:
- Highly presentable, well groomed, and self-confident (but not arrogant)
- Able to take up challenges and to work independently, under pressure, with little direction
- This is a high profile role and only those with experience in top end service and management will be considered
- Prior experience working as a Personal Assistant is a must
- Possess excellent verbal and written communication and interpersonal skills
- Excellent written and oral communication skills in English and Mandarin (with additional languages being a plus)
- Exceptional attention to detail
- Should be comfortable working any time, any day—as needed
- Education from a good university (preferably American or European)
- Highly presentable, well groomed, and self-confident (but not arrogant)
